The Order Ledger Report is a powerful financial export designed to give you a complete, line-by-line history of every order and all changes made to it. This report helps you reconcile payouts, understand deposits, and track exactly what happened within each order over time.
The Order Ledger report is helpful if you cannot match your revenue to payouts, you are unsure what makes up a specific deposit, your reports do not align with your bank account, or you need a breakdown of tickets, taxes, or add-ons tied to transactions. If you find yourself comparing multiple reports to understand one payout, the Order Ledger is likely the best report for the job.
Warning: The Order Ledger Report is currently in Beta, and is not yet available for specific page types and setups. The Order Ledger is not ready for pages with the following features, page types, and payment methods. If your page uses this page type or any of the following features, do not use this report yet. We are looking to add functionality for these features soon!
Note: The Order Ledger Report only includes orders that were originally created on or after October 1, 2025. If an order was originally created before October 1, 2025, it will not appear in the report. Additionally, any updates, changes, refunds, or adjustments will not appear in the Order Ledger report for these orders, even if the updates were made after October 1, 2025.
Chargebacks will only appear if they were initiated after March 11, 2026. Chargebacks before this date will not appear on the Order Ledger report.
Example Use Cases
The Order Ledger Report is most helpful when you need to understand the "why" behind your numbers, and not just the totals. Here are some situations when the Order Ledger Report is useful:
You want to match your revenue to payouts: See exactly what was charged to the ticket buyer, how fees were applied, and how that connects to the net amount deposited into your account
You want to break down revenue by item: Analyze how much revenue came from each ticket type, add-on, or product. The Order Ledger Report includes a full item-level breakdown of what was selected within each order, and records every transaction as its own line so you can accurately track revenue as changes occur
You want to review an order's full financial history: Track what was originally purchased, what changes were made over time, and what caused each charge or refund
You want to see all financial items that are on an order: Track every financial item that makes up an order. The Order Ledger Report includes all financial items that make up an order, including all tickets, financial items added within a ticket, add-ons, coupons, and any other fees

Overview of the Order Ledger Report
The Order Ledger is a financial export that shows each order as its own line and records every change to an order as a separate line. This report includes all financial components including tickets, add-ons, fees, and discounts. There is an inventory quantity for each item and a timestamp for each action, so you have a full audit trail and can see the original purchase, any edits, refunds, or cancelations, and know how these changes impact your financial records order time.

Note: The Order Ledger Report is designed for finding a financial history of each order. This report is not designed for non-financial fields, and will not include any non-financial selections added to the order.
If you need to find this information, we recommend using an Order Data Report for any order-specific information, and using a Tickets Report for any ticket-related information.
Download the Order Ledger Report
To pull an Order Ledger report, hover your mouse over the Reports tab in the top menu bar
Select Exporter from the dropdown
Select the Order Ledger report
Select the Page(s) you want to export. You can use the search field to find your page's name
Select Export Order Ledger
Add your desired date range, if desired. If this field is blank, the report will pull all orders from the moment your page went live (for orders that were created on or after October 1, 2025)
Click Export
After exporting, you will see a message that a bulk export is processing, and that you will receive an email with the download link. This report will be sent to the user email that requested to download the Order Ledger Report

In the email, click Download Export
Pro Tip: If you download multiple pages, a separate email will be sent for each page requested. Each email will include its own downloadable file containing the order ledger for that specific page.

Understand the Order Ledger Report
The Order Ledger is a line-by-line financial log that shows both what was purchased and how each transaction impacted your revenue. Each row represents a single transaction, making it possible to track every charge, edit, or refund with full detail.
Learn how to read each row so you can understand where your numbers come from.
Each row reflects a single transaction event such as an order, modification, or cancellation
The Transaction Type column tells you what kind of event occurred
Orders with multiple transactions will appear across multiple rows, creating a timeline of financial activity
Each financial item (tickets, add-ons, merchandise) is broken split into quantity and price
All financial components, including the items, coupons, change fees, admin overrides, and transfer fees, combine to make up the Billed Amount
If using Webconnex Payments, the Net Payout column shows what was deposited into your bank after fees are deducted
Note: Each change to an order is recorded in the Order Ledger Report, so a single order may appear multiple times. This is intentional, as it provides clear item-level detail while keeping revenue tracking accurate, even when orders are edited, canceled, or partially refunded.
When an order is edited, a new line shows any financial changes. The Order Ledger Report will display any items that were added or removed on this line to ensure inventory stays accurate. If an edit would normally trigger a charge or refund but you choose not to process it, the Order Ledger still updates inventory and records the amount that would normally be charged or refunded in the Admin Override tab. This keeps both inventory and revenue precise
When an order is canceled, all items are removed. If you cancel with a partial refund, no refund, or issue a coupon for future uses, the Admin Override tab shows any revenue you retain
Pro Tip: Here are some best practices for using the Order Ledger Report effectively:
Filter by Payout ID or Payout Date (if using Webconnex Payments) to isolate a single payout and easily reconcile a single payout at a time
Use the Net Payout column (if using Webconnex Payments) to quickly reconcile your orders to the payout you received. The sum of all transactions for a single payout should equal the amount you received in your bank
Use a Pivot Table to quickly sum columns and compare against billed and payout amounts. You can also use pivot tables to summarize revenue by ticket type, product, or date
Filter or Search by the Order Reference column to review the financial history of a specific order
Group or Collapse Columns in Excel to only focus on the fields you need

Gateway Reference
Gateway Reference
The Gateway Reference is a unique code given to every transaction by Webconnex Payments. It corresponds directly to the "Payment Reference ID" field in a Webconnex Payments Payout Report and a Transactions report.
This column only populates if you are using Webconnex Payments. If you are using a different payment processor, this field will be blank.
OrderID
OrderID
The OrderID field generates a unique number for every order in TicketSpice. This identifier is assigned at the time of purchase and is not duplicated. This field directly correlates with the Order ID column in the Order Data Report, and can be used to merge the reports together if desired.
Date

The Date field reflects when the transaction or update occurred.

The Transaction Type field specifies the type of transaction that took place. Here are the list of transaction types, and when you might see them.

CANCELLATION_PURCHASE_PROTECTION | The order was canceled through Purchase Protection. The attendee received a refund directly from Purchase Protection outside of TicketSpice, so no refund was processed within your TicketSpice account. You retain the revenue from the canceled order while the attendee is reimbursed through Purchase Protection. This status only appears if Purchase Protection is enabled on your page |

In the Order Ledger Report, each ticket level has its own column showing both quantity and price. The column header includes the ticket level name followed by either Qty or Price.

In the Order Ledger Report, any additional financial fields added to the order section of the page will display two columns for each field. One column displays the item quantity, and the other displays the item price. The column headers include the financial field name followed by Qty or Price.

Note: If you have a merchandise field with multiple variants, each variant will have unique columns listing the quantity and price of the variant.

If you use the option to add a change fee when an attendee's order is edited, the Order Ledger report will display columns for the change fee. One column displays the change fee quantity, and the other displays the change fee price.
Change Fee Qty: The number of change fees charged on this order
Change Fee Total: The total cost of the change fees for this order
Pro Tip: The Change Fee column only appears when your page applies a change fee when an attendee's order is edited. If you do not use this feature, you will not see this field on your Order Ledger report.
Coupon Code Qty, Coupon Code Total

The Coupon Code Qty and Coupon Code Total fields display the number of coupons applied through that specific coupon code field and the total value of those coupons. If your page includes multiple coupon code fields, each coupon code field will be listed separately in the report.
Passed Fees Qty, Passed on Fees Total

The Passed on Fees Qty and Passed on Fees Total fields display data when you are using the option to pass all fees on to buyers. These columns show the number of passed-on fee charges applied to the order and the total amount of those fees.
Note: The Order Ledger Report is not currently fully compatible with pages using the “pass all fees to buyers” feature. If this feature is enabled on your page, the Order Ledger report may not accurately calculate or display revenue totals. We are looking to add this functionality soon.
Admin Overrides
Admin Overrides
The Admin Override column reflects manual adjustments made to an order after checkout is complete. An Admin Override is added when changes to an order cause the inventory totals and revenue totals to no longer align. The Admin Override field displays the adjustment amount applied by the admin to reconcile these differences, helping keep your reporting accurate and balanced. This field is commonly used for more complex order changes.
The Order Ledger Report will include an Admin Override in situations such as:
A user edits an order in a way that would normally result in a charge or refund, but chooses not to charge or refund the customer
A user manually adds a custom charge or processes a refund through the Additional Items section of the order
A user cancels an order and chooses to issue a coupon code, issue a partial refund, or not issue a refund at all

The Transfer Fee column displays the transfer fee for any transferred orders. The transfer fee is deducted from the refund issued to the attendee.
Note: The Transfer Fee column only populates with data when you have turned on the option for attendees to transfer their orders and a transfer fee applies to any transfers.

The Billed Amount column indicates the total amount the ticket buyer paid for their order. This field corresponds directly to the the "Authorized Amount" field in your Webconnex Payments Payout Report, the "Order Total ($ Amount)" field in your Order Data report, and the "Total Paid ($ Amount) field in the Transactions report.

The Payment Method field shows how the attendee paid for the transaction. This field identifies how the charge, modification, or refund was processed.
Here are the available payment methods in TicketSpice
Credit Card: This payment method indicates a standard credit or debit card payment
Apple Pay: This payment method indicates the order was completed using Apple Pay
Google Pay: This payment method indicates the order was completed using Google Pay
Offline: This payment method indicates the order was submitted on your online ticketing page using an offline payment method (such as cash or check)
Cash: This payment method indicates that the order was paid using cash on the Box Office App

The order reference identifies the order reference for an order. You can search for an order using the Order Reference in both the Orders tab and the Transactions tab. This field directly correlates with the Order Reference column in the Webconnex Payments Payouts Report and the Order Data Report, and can be used to merge the reports together if desired.
Pro Tip: If your accounting team would like to merge a Payouts Report and an Order Ledger Report to see a breakdown of all the items that were selected within an order, you can use the Order Reference field to link these reports. You can use a function like VLOOKUP in Excel and Google Sheets to combine these reports using the Order Reference field.

The Payout ID corresponds directly to the "Payment Reference ID" field in an Order Data and Transactions report.

Other reports provide different views of your orders and financial activity:
The Transactions Report and Webconnex Payments Payout Report display each financial transaction on a separate line. These reports are useful for viewing net financial movement and payout activity, but they do not include item-level order details
The Order Data Report displays the current state of an order, including its latest totals and item information. If an order is edited, the report displays the updated order data rather than preserving a history of previous changes. Because of this, the Order Data Report is best used for reviewing current order information rather than reconciling payout activity over time
How does the Order Ledger process pre-registrations?

Pre-registrations appear on the Order Ledger once a user completes these orders. Pre-registered orders that have not been completed will not show up on the Order Ledger.

Yes, free orders are included in the Order Ledger Report. For free orders, the Order Ledger report will display the selected items, along with the billing name, billing email, and billing phone number (if enabled). Since no payment is processed, the billing address will not appear, and the Payment Method and Gateway Reference columns will remain blank.
