The TicketSpice scanning app will require you to enter an app key in order to know which tickets to validate and what permissions to grant

The TicketSpice scanning app is a powerful tool designed to help you quickly and efficiently scan tickets at your event, ensuring a smooth on-site experience for both your team and your attendees. To get started with ticket scanning, you'll first need to create an App Key for your event. An App Key links your scanning devices to the correct ticket information, telling the app which tickets to validate and what permissions to lock or unlock. By setting up an App Key, you can ensure each device is configured to handle the appropriate ticket levels and permissions.

You can create multiple app keys and assign them to different scanning devices. For example, you might set up a VIP entrance where only VIP tickets are validated, while other devices can validate both VIP and General Admission tickets. Additionally, you can control access permissions, allowing you to grant full access to admins while limiting volunteers to basic tasks like searching and scanning tickets.

NOTE: If you are using an Apple device, the TicketSpice scanning app is compatible with iOs 13 and above. If using an Android device, the TicketSpice scanning app is compatible with version 8 or above.

Create an App Key

  • From the Pages screen, click the pencil icon on the page that you want to edit

  • Hover your mouse over the Onsite tab in the top menu bar

  • Select Ticket Scanning from the dropdown

  • Click Create App Key or New App Key

  • Customize Your Ticket Scanning settings

  • Click Create to save your app key

Tip: You can create and customize multiple check-in App Keys for the same event page. This flexibility is great for tailoring access and settings to different parts of your event. For instance, one App Key might require a signed waiver before check-in, while another is used just for scanning tickets to redeem merchandise. You can also assign specific App Keys to volunteers with limited permissions while providing an admin with a different App Key with expanded access for tasks like editing orders or managing settings.


Customize Your App Key Settings

App Keys in the TicketSpice scanning app are customizable to match your team’s needs. You can name each App Key to easily identify the app key in your reporting, designate certain app keys for volunteers with limited permissions, or grant advanced access to team members who need to edit orders directly from the app. These settings help you control who can do what, keeping your event secure and running smoothly.

  • Name your app key - Add a Name for your App Key. This name is for internal and reporting purposes only and will not show publicly. These names help you differentiate between app keys in your reporting if you create multiple. These names can be descriptive like "General Admission Entrance", "Volunteers only", etc

  • App key for volunteers with limited access - When this is enabled, it will limit the access these volunteers will have. Instead of having full access to reports and the full list of attendees, this feature will limit anyone logged in with this app key to only be able to search and scan tickets

  • Allow team to edit orders from app - When this setting is enabled, anyone logged in with this app key will have the ability to edit an order while scanning attendees. This is helpful if a guest arrives with a friend and needs to add a ticket to their order, or if they wish to purchase additional items like merchandise


Configure Scan Limits and Frequency Rules

With the TicketSpice scanning app, you have full control over how many times a ticket can be scanned and how often that scan limit resets. On the App Key, you can set each ticket level to have a specific number of allowed scans—whether that's a single entry or multiple uses. You can also define the scan frequency, choosing whether the scan count resets daily (ideal for multi-day events) or remains fixed for the duration of the event.

  • # of Scans - This field controls how many times each individual ticket can be scanned. This field does not refer to the total number of tickets your scanning device can handle. For example, if you have sold 500 tickets and you set # of Scans to be 1, each of those 500 tickets can be scanned once. If someone tries to scan the same ticket a second time, the ticket will be marked as invalid. This setting is most commonly set to 1, especially for single-entry events.

  • Frequency - This setting determines whether scan count limit resets each day or remains fixed for the entire event. If Frequency is set to Total, the number of scans can be scanned up to the allowed number of times across the full event. If Frequency is set to Per Day, the scan limit resets each day, allowing attendees to use their ticket again the next day.

Examples:

  • If the app key is set to # of Scans: 3 Total, each ticket can be scanned up to three times across the entire event. A fourth scan attempt will be marked as invalid.

  • If the app key is set to # of Scans: 2 Daily, each ticket can be scanned twice per day, with the limit resetting every new day of the event.

Additional Options

You can choose to enable optional features within the Scanning App, such as requiring a photo for attendees at check-in, setting date restrictions for when your app key is active, and allowing your app key to be used with the Mobile Pay Pass app.

Require a Photo

When the Require a Photo option is enabled, the scanning app will prompt for a photo to be taken the first time a ticket is scanned. This image will then appear on all future scans of that ticket, helping verify that the same person is using the ticket. This option is especially useful for season passes or events where guests frequently exit and re-enter, and it helps deter ticket sharing between individuals.

You can enable the photo requirement on a per-ticket level basis, giving you the flexibility to require a photo for select ticket types or across all ticket levels on your event page.

  • From the Pages screen, click the pencil icon on the page that you want to edit

  • Hover your mouse over the Onsite tab in the top menu bar

  • Select Ticket Scanning from the dropdown

  • On your app key, click the pencil icon to edit your app key

  • Click the Require a Photo checkbox on the ticket level(s) where you want to require a photo

  • Click Save to save your app key

Limited Availability by Date

Setting date-based availability in the app key allows you to define a specific timeframe in which the ticket level(s) can be scanned. For example, if your event runs for a month but the VIP pass is only valid during the first week, you can create an app key that permits VIP check-ins only through that first week, while still allowing General Admission check-ins for the entire event duration.

  • From the Pages screen, click the pencil icon on the page that you want to edit

  • Hover your mouse over the Onsite tab in the top menu bar

  • Select Ticket Scanning from the dropdown

  • On your app key, click the pencil icon to edit your app key

  • Click the Limit availability by date checkbox on the ticket level(s) that you want to limit

  • Specify a start and/or end date and time to control when the ticket level can be scanned for entry

  • Click Save to save your app key

Pro Tip: If the registration open and close dates are left blank, the ticket level will remain available for scanning.

If you want a ticket level to become valid starting on a specific date but don’t need an end date, simply enter the desired start date in the From field and leave the To field blank. Conversely, if you only want to set an end date for scanning, leave the From field blank and enter the desired date in the To field.

Mobile Pay Pass

Use app key for Mobile Pay Pass app: Enabling this setting allows users to utilize the app key for both the Mobile Pay Pass and Ticket Scanning apps. With Mobile Pay Pass, attendees can make cashless purchases on-site using their ticket. When their ticket is scanned, they’ll enter a 4-digit passcode to charge their card on file for the purchase.   • From the Pages screen, click the pencil icon on the page that you want to edit

  • Hover your mouse over the Onsite tab in the top menu bar

  • Select Ticket Scanning from the dropdown

  • On your app key, click the pencil icon to edit your app key

  • Toggle the use app for Mobile Pay Pass app button to Yes

  • Click Save to save your app key


Manage Your App Key

Warning: Deleting an app key cannot be undone. So proceed with caution.

  • From the Pages screen, click the pencil icon on the page that you want to edit

  • Hover your mouse over the Onsite tab in the top menu bar

  • Select Ticket Scanning from the dropdown

  • Find the app key you want to manage, and do any of the following

    • Once the app key has been created, users can scan the QR Code to log into the TicketSpice Scanning app for this event

    • Users can also enter the app key manually

    • The pencil icon allows you to edit the app key

    • The trash can icon allows you to delete the app key
